This Privacy Policy explains how Nexova, Inc. (“Nexova,” “we,” “us,” or “our”) collects, uses, and shares information when you use our website, applications, and services (the “Platform”). Nexova operates a dispatch intermediary platform that connects companies with independent service providers (“drivers”) for route-based delivery work in South Florida. Nexova does not employ drivers and does not itself perform deliveries.
By using the Platform, you agree to the practices described in this Policy. If you do not agree, please do not use the Platform.
1. Who this Policy applies to
This Policy applies to all users of the Platform, including company account holders, the personnel who use a company account, and independent drivers. Where a practice applies only to one group, we say so.
2. Information we collect
From companies and their personnel
- Account and contact details: business name, contact name, email address, phone number, and password.
- Business details: employer identification number (EIN), website, and default pickup address.
- Billing details processed through our payment processor, including subscription and payment-method information.
- Delivery and route details you submit, including reference identifiers, package counts, pickup and drop-off addresses, and payout amounts you set.
From drivers
- Account and contact details: name, email address, phone number, preferred language, and password.
- Identity and eligibility documents: driver’s license, vehicle insurance, vehicle make/model/year, license plate, the last four digits of your Social Security Number, and a Social Security document for verification and tax-reporting purposes.
- Vehicle and service details: vehicle type, cargo capacity, base city, and service radius.
- Location data: your device’s location while you are using driver features (for example, while online, accepting a route, or submitting proof of pickup or delivery), and the timestamps of those events.
- Payout and banking details collected and held by our payment processor to enable payments to you.
- Activity you generate, such as routes accepted, proof-of-delivery photos and confirmations, mileage logs, expense entries, and bookkeeping records you choose to add.
Collected automatically
- Device and usage information, such as IP address, browser type, pages viewed, and interactions with the Platform.
- Cookies and similar technologies used to keep you signed in and to operate core features (see Section 12).
From third parties
- Address, geocoding, and routing data from our mapping provider when you enter addresses.
- Payment, payout, identity-verification, and tax-form status information from our payment processor.
3. Sensitive information
Some information we collect is sensitive, including Social Security information and precise geolocation. We collect this information only for the limited purposes described in this Policy — driver verification, payouts, tax reporting, and operating the dispatch service. Social Security documents are restricted to authorized administrators and are accessed only through short-lived, signed links. We do not sell sensitive information.
4. How we use information
- To create and manage accounts and authenticate users.
- To operate the dispatch service: matching available routes with drivers, enabling routes to be offered and accepted, and tracking route status.
- To verify driver eligibility (license, insurance, and identity) before drivers may accept routes.
- To process company payments and driver payouts, and to generate tax forms such as Form 1099.
- To provide proof of pickup and delivery, handle disputes, and support customer service.
- To communicate with you about your account, routes, payments, and service updates.
- To maintain the security and integrity of the Platform and to detect and prevent fraud and abuse.
- To comply with legal obligations and enforce our agreements.
5. How we share information
Service providers
We share information with vendors that perform services on our behalf, under contracts that limit their use of the information:
- Payment processing, driver payouts, identity verification, and tax forms (our payment processor).
- Geocoding, mapping, and routing (our mapping provider).
- Cloud hosting, database, authentication, file storage, and email delivery.
Between companies and drivers
To operate the service, companies and drivers see limited information about each other. Importantly, a driver’s real name is never shown to companies; drivers are displayed to companies under an anonymized identifier (for example, “Driver #XXXX”) or a company-set alias. Drivers see the route, pickup and drop-off details, and package information needed to complete the work.
Legal and safety
We may disclose information if required by law, subpoena, or other legal process, or where we believe disclosure is reasonably necessary to protect the rights, safety, or property of Nexova, our users, or the public.
Business transfers
If Nexova is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising.
6. Location data
Driver location is used to operate the dispatch service — for example, to match routes by city and service radius, to record proof of pickup and delivery, and to log route mileage. Mileage we calculate is always route mileage related to delivery work, not personal commute mileage. Drivers can control device location permissions through their device settings, though disabling location may prevent certain driver features from working.
7. Payments and banking
Payments and payouts are handled by our third-party payment processor. Full payment-card numbers and bank-account credentials are collected and stored by that processor, not by Nexova. Their handling of your information is governed by their own privacy policy.
8. Data retention
We retain information for as long as your account is active and as needed to provide the service, and afterward as required to comply with legal, tax, accounting, and recordkeeping obligations, resolve disputes, and enforce our agreements. Retention periods for tax and payment records may be set by law.
9. Security
We use administrative, technical, and physical safeguards designed to protect information, including access controls, encryption in transit, restricted access to sensitive documents, and short-lived signed links for the most sensitive files. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your choices and rights
You may access and update most account information directly in the Platform. You may also contact us to request access to, correction of, or deletion of personal information we hold about you, subject to legal limits (for example, records we must keep for tax or recordkeeping reasons). For security, driver email addresses — which serve as login identifiers — are changed only by an administrator. To make a request, contact us using the details in Section 13.
11. Children
The Platform is intended for businesses and adults. It is not directed to children under 18, and we do not knowingly collect personal information from children.
12. Cookies and similar technologies
We use cookies and similar technologies that are necessary to keep you signed in and to operate the Platform. We do not use them for cross-site advertising. You can control cookies through your browser settings, though disabling necessary cookies may prevent the Platform from functioning.
